These Terms and this Rental Agreement (the "Agreement") govern all bookings of Claire's Chateau (the "Venue"), located in East Nashville, Tennessee, and operated by The Chapel House LLC ("we," "us," "the Company"). By submitting a booking request and paying a deposit, you ("the Client") agree to this Agreement.
1. Booking & Payment
- A booking is confirmed only when the Company approves the request in writing and receives a deposit equal to 50% of the total booking fee.
- The remaining balance is due 7 days before the event date. Bookings made within 7 days of the event are payable in full at confirmation.
- The booking includes only the date, hours, spaces, and guest count stated in the written confirmation. Setup and breakdown must occur within the reserved window unless arranged in advance.
- Overtime is billed in 30-minute increments at 1.5x the hourly rate, subject to availability.
2. Client Responsibilities
- The Client is responsible for the conduct of all guests, vendors, and contractors they bring on site.
- The Client is responsible for any damage to the home, furnishings, fixtures, artwork, or grounds beyond normal wear, and agrees to pay the reasonable cost of repair or replacement.
- Guest counts may not exceed the capacity stated in the booking confirmation.
- The Client must ensure all guests and vendors have vacated the property by the end of the reserved window.
3. House Rules
- No smoking or vaping indoors anywhere on the property's interior.
- Open flames only in enclosed candle holders. No fireworks, sparklers, or fog machines.
- No glitter, confetti, loose feathers, or birdseed. Nothing may be nailed, stapled, or taped to walls, trim, or furniture.
- Furniture may be rearranged only with prior approval, and must be returned to its original placement.
- Outdoor amplified sound ends by 9:00pm. All events conclude by 10:00pm in keeping with neighborhood quiet hours.
- Animals are permitted only with prior written approval (service animals always welcome).
- Alcohol may be served to guests of legal age at private events; alcohol may not be sold on the premises without proper licensing.
4. Insurance & Liability
- For events above 20 guests, or any event involving vendors, the Company may require a certificate of event liability insurance naming The Chapel House LLC as additional insured.
- Guests use the Venue and grounds at their own risk. To the fullest extent permitted by law, the Company is not liable for personal injury or loss or damage to personal property except where caused by the Company's negligence.
- The Client agrees to indemnify and hold harmless The Chapel House LLC from claims arising out of the Client's event, except to the extent caused by the Company's own negligence.
5. Photography & Content
- Commercial photography, video, and content created at the Venue is the Client's property.
- The Company may request permission to share images from your event for marketing. We will never share your content without consent.
6. General
- This Agreement is governed by the laws of the State of Tennessee.
- If any provision is found unenforceable, the remainder of the Agreement remains in effect.
- Cancellations and refunds are governed by our Cancellation & Refunds policy, which is incorporated into this Agreement.
